15 STEPS
1. This is a tutorial for WQSB staff of how to set your Outlook calendar availability to be visible to the Microsoft Bookings calendar.
It is recommended to click the third button in the toolbar below (dashed box) to view the tutorial fullscreen.
2. The default format is a click-through, interactive tutorial in English, but you can change the format using the first button in the toolbar below. You can also click on the settings icon (gear) in this same toolbar to switch the language.
3. The first step is to open your web browser and access your WQSB Outlook web calendar at:
outlook.office.com/calendar
4. Click Share.
5. By default, your WQSB calendar availability is not shared with Microsoft Bookings.
Beside "People in my organization" click Not shared.
6. Click Can view when I'm busy.
This will allow Microsoft Bookings and other tools like FindTime polls in Outlook to find available time slots on your calendar. It will NOT share any other calendar details.
7. You can also use this page to customize access to your calendar for specific colleagues, for example sharing the titles and locations of events you have on your calendar.
Once finished, click Close.
8. To ensure that any existing events on your calendar do not affect your availbility for events like Parent-Teacher interviews, you need to either delete them or mark your availability as "Free".
Right-click on the outlined calendar event.
9. Click Show as.
10. Click Free.
11. The white bar to the left of the event shows that your status is "Free" during that time and it will not impact your calendar availability.
12. To schedule a break for yourself into a Microsoft Bookings calendar, click on the time slot you would like to block off.
13. Set the duration for the hold on your calendar then click Save.
14. You now have your break scheduled in your calendar where you will not be able to be booked.
